Repository Policy

Journal of Information Technology and Computer System (JITCoS)

The Journal of Information Technology and Computer System (JITCoS) supports the widest possible dissemination of scholarly knowledge. Authors are encouraged to deposit and share their manuscripts through institutional repositories, subject-based repositories, personal websites, academic networking platforms, and other non-commercial repositories, in accordance with the conditions stated in this policy.

1. General Policy

Authors retain the right to archive and disseminate their scholarly works while respecting the journal’s publication ethics, copyright provisions, licensing terms, and citation requirements.

JITCoS permits authors to deposit the following versions of their manuscripts:

  1. Preprint Version
    The version of the manuscript submitted by the author before peer review.

  2. Accepted Manuscript
    The version of the manuscript that has been revised and accepted for publication after the peer-review process but has not yet undergone the journal’s final copyediting, layout, and typesetting.

  3. Published Version or Version of Record
    The final version officially published by JITCoS, including the journal’s layout, pagination, volume, issue, publication date, and Digital Object Identifier (DOI), where available.

2. Preprint Archiving

Authors may deposit the preprint version of their manuscript in:

  • Institutional repositories;

  • Subject-based repositories;

  • Personal or institutional websites;

  • Preprint servers;

  • Academic networking platforms; and

  • Other non-commercial scholarly platforms.

When the manuscript is subsequently published in JITCoS, authors are expected to update the repository record by adding the complete publication information and a link to the official published version.

The following statement should be included:

This manuscript is a preprint version. The final version has been published in the Journal of Information Technology and Computer System (JITCoS) and is available through the journal’s official website.

3. Accepted Manuscript Archiving

Authors may deposit the accepted manuscript immediately after the manuscript has been formally accepted for publication.

The accepted manuscript must clearly indicate that it is not the final formatted version published by the journal.

Authors should include the following information:

  • Article title;

  • Author names;

  • Journal title;

  • Volume and issue, when available;

  • Year of publication;

  • DOI or permanent article link; and

  • A statement identifying the document as an accepted manuscript.

The recommended statement is:

This is the author’s accepted manuscript of an article accepted for publication in the Journal of Information Technology and Computer System (JITCoS). The final published version is available on the journal’s official website.

4. Published Version Archiving

Authors may deposit the final published version or Version of Record in institutional repositories, subject repositories, personal websites, and other non-commercial academic platforms.

The deposited version must:

  1. Retain the original journal title, article title, author names, volume, issue, page numbers or article number, publication year, and DOI;

  2. Display the applicable copyright and license statement;

  3. Include a direct link to the article on the official JITCoS website;

  4. Not be modified, altered, reformatted, or presented as a different publication; and

  5. Not be used for commercial purposes without written permission from the journal or copyright holder.

JITCoS does not impose an embargo period on the deposit of the published version unless otherwise stated in the article’s specific copyright or licensing agreement.

5. Permitted Repositories

Authors may deposit their manuscripts in the following types of repositories:

  • University or institutional repositories;

  • Government research repositories;

  • Discipline-specific repositories;

  • National or international scholarly repositories;

  • Personal academic websites;

  • Research project websites;

  • Non-commercial academic networking platforms; and

  • Funder-designated repositories.

Repositories must provide proper attribution and must not misrepresent the article’s publication status.

6. Citation and Linking Requirements

Every deposited manuscript must provide complete bibliographic information for the published article.

The citation should include:

  • Author name or names;

  • Year of publication;

  • Article title;

  • Journal title;

  • Volume and issue;

  • Page range or article number, where applicable;

  • DOI; and

  • Permanent link to the official journal website.

The DOI should be presented in its active and persistent format whenever available.

Example:

Author, A. A., & Author, B. B. (Year). Title of the article. Journal of Information Technology and Computer System (JITCoS), Volume(Issue), pages or article number. DOI: [DOI link].

7. Copyright and Licensing

Articles published in JITCoS are distributed according to the copyright and licensing terms displayed on the journal website and on each published article.

Authors and repository administrators must retain:

  • The author attribution;

  • The journal attribution;

  • The copyright notice;

  • The applicable Creative Commons license or other publication license;

  • The DOI; and

  • The official publication link.

Repository deposit does not transfer copyright ownership to the repository administrator or platform provider.

Any reuse, redistribution, adaptation, translation, or commercial use must comply with the license attached to the published article.

8. Third-Party Materials

Authors are responsible for ensuring that all third-party materials included in the manuscript, including images, tables, figures, photographs, datasets, software code, maps, and other copyrighted materials, may legally be deposited and shared.

Materials that are not covered by the article’s publication license must be clearly identified.

Where permission to redistribute third-party materials has not been obtained, such materials must be removed from the repository version or replaced with an appropriate citation or description.

9. Metadata Requirements

Repository records should contain accurate and complete metadata, including:

  • Article title;

  • Author names and affiliations;

  • Abstract;

  • Keywords;

  • Journal title;

  • Volume and issue;

  • Publication date;

  • Page numbers or article number;

  • DOI;

  • Article URL;

  • Copyright information;

  • License information; and

  • Manuscript version.

Repository administrators are encouraged to use recognized metadata standards to improve discoverability, indexing, interoperability, and long-term access.

10. Repository Integrity

Deposited manuscripts must not be altered in a manner that changes the meaning, research findings, authorship, citation information, or publication status of the article.

Repository platforms must not:

  • Remove the journal’s identification;

  • Replace the DOI with an unofficial identifier;

  • Falsely present an accepted manuscript as the final published version;

  • Sell access to the deposited article;

  • Use the article for unauthorized commercial purposes; or

  • Create misleading versions of the publication.

11. Corrections, Retractions, and Updates

When a published article is corrected, updated, withdrawn, or retracted, authors and repository administrators should update the repository record accordingly.

The repository record should:

  1. Include a visible notice regarding the correction, withdrawal, or retraction;

  2. Provide a link to the official journal notice;

  3. Avoid removing the scholarly record without an appropriate explanation; and

  4. Clearly identify the current publication status.

The official journal website remains the authoritative source for information regarding corrections, retractions, and publication updates.

12. Takedown Requests

JITCoS or the relevant rights holder may request the removal or restriction of a deposited manuscript when there is evidence of:

  • Copyright infringement;

  • Violation of third-party rights;

  • Breach of confidentiality;

  • Publication ethics violations;

  • Unauthorized commercial use;

  • Defamation or unlawful content;

  • Serious privacy concerns; or

  • Misrepresentation of the manuscript’s publication status.

Takedown requests will be reviewed fairly and transparently. Where appropriate, the repository record may be retained with a notice explaining why access to the document has been restricted.

13. Long-Term Preservation

JITCoS is committed to maintaining the long-term availability of its published content through journal archiving, digital preservation systems, institutional repositories, or other trusted preservation services.

Authors are encouraged to deposit their works in reliable repositories that provide:

  • Persistent identifiers;

  • Long-term digital preservation;

  • Stable access;

  • Version control;

  • Standardized metadata; and

  • Clear copyright and licensing information.

14. Compliance with Research Funder Requirements

Authors may deposit their manuscripts to comply with institutional, governmental, or research funder open-access requirements.

When funder requirements differ from this repository policy, authors should contact the editorial office before publication to determine the appropriate deposit arrangement.

15. Commercial Use

Deposited articles may not be sold, licensed, republished, or distributed for commercial purposes unless such use is explicitly permitted by the applicable article license or authorized in writing by the copyright holder.

Commercial repositories, aggregators, or platforms must obtain permission before reproducing, hosting, redistributing, or monetizing JITCoS content.

16. Policy Changes

JITCoS reserves the right to revise this Repository Policy to reflect developments in scholarly publishing, open-access practices, copyright regulations, repository standards, and publication ethics.

Any revision will be published on the official JITCoS website. The policy applicable to an article will generally be determined by the copyright and licensing conditions in effect at the time of publication.
